1. Overview
RADMAP 2026 understands that circumstances may change and participants may need to cancel their registration. This policy outlines the terms and conditions for cancellations and refunds.
2. Cancellation Request Process
- All cancellation requests must be submitted in writing via email to radmap2026@gmail.com.
- The email must include your full name, registration ID, and reason for cancellation.
- Cancellation requests will be acknowledged within 3 business days.
- The date of the email will be considered as the cancellation date for refund calculations.
3. Refund Schedule

4. Non-Refundable Items
- Payment gateway processing fees
- Bank transaction charges
- Currency conversion fees
- Any add-on services already utilized (e.g., accommodation bookings)
5. Refund Processing
- Approved refunds will be processed within 30 working days from the date of approval.
- Refunds will be credited to the original payment method used during registration.
- For international payments, please allow additional time for bank processing.
- A confirmation email will be sent once the refund has been processed.
6. Registration Transfer
- Registration may be transferred to another person with prior written approval from the organizing committee.
- Transfer requests must be submitted at least 15 days before the conference.
- A transfer fee of ₹500 (or equivalent) may be applicable.
- The new registrant must meet the eligibility criteria for the registration category.
7. No-Show Policy
- Registered participants who do not attend the conference without prior cancellation will not be eligible for any refund.
- Conference materials may be collected by authorized representatives if prior arrangements are made.
8. Force Majeure
In case of conference cancellation or postponement due to circumstances beyond our control (natural disasters, pandemics, government restrictions, etc.):
- Participants may transfer their registration to the rescheduled date at no additional cost.
- Full refund will be provided if the participant cannot attend the rescheduled event.
- The organizing committee will communicate all options to registered participants via email.
9. Paper Submission Withdrawals
- Authors withdrawing accepted papers after registration will not be eligible for refund.
- If a paper is rejected and the author wishes to cancel registration, standard refund policy applies.
